Bookings Terms & Conditions

Hire fees and Minimum Spend

  • Payment of the deposit or hire fee confirms the private hire booking 

  • Payment of the hire fee balance and any outstanding prepayments have to be made no later than 2 weeks before the event date

  • For any bookings made within 2 weeks of the event date the hire fees and prepayments need to be paid in full at the time of booking. 

  • All drink pre orders and orders on the day contribute towards the agreed minimum spend 

  • Any outstanding minimum spend that has not been reached by the end of the event will be payable within 7 days of the event taking place. 

    Decorations and external contractors

  • We welcome external decorations to be brought into the venue to dress the space to your liking upon prior approval and agreement with the bookings coordinator.

  • Exceptions for this are confetti and confetti balloons which we do not allow. 

  • Any items (including any transport and set up materials) need to be removed from the venue after your booking has ended or in some pre-arranged cases no later than 12pm the following day. 

    Where a minimum spend applies:

    • All food and beverage purchases contribute towards the minimum spend.

    • If the minimum spend is not achieved, the remaining balance will be invoiced and payable within 7 days following the event.

    Guest Numbers

    • Final guest numbers must be confirmed no later than 7 days before the event.

    • The venue reserves the right to refuse entry once agreed capacity limits have been reached.

    • Capacity limits are determined by fire safety regulations and licensing requirements.

    Age Restrictions

    Daytime Events

    Guests under 18 may attend private events if agreed in advance and accompanied by a responsible adult.

    Evening Events

    After 9:00pm, Spirit Bar & Terrace operates a strict 18+ policy unless otherwise agreed in writing.

    Challenge 25

    The venue operates a Challenge 25 policy. Valid photographic identification may be required for alcohol purchases.

    Accepted forms of ID:

    • Passport

    • UK Driving Licence

    • PASS-approved identification card

    Food & Beverage

    External Food & Drink

    No external food or beverages may be brought onto the premises without prior written approval.

    Alcohol Licensing

    The venue reserves the right to:

    • Refuse alcohol service to intoxicated guests.

    • Refuse service where licensing laws require.

    • Remove any guest whose behaviour compromises safety or licensing compliance.

    Pre-Orders

    Food and drink pre-orders should be submitted by the agreed deadline to ensure availability.

    Entertainment

    External DJs, performers, photographers, and suppliers must:

    • Receive prior approval.

    • DJs are required to bring their own equipment to connect to the venues PA system.

    • Comply with venue health and safety requirements.

    8. Venue Access & Set-Up

    • Access times will be agreed in advance.

    • Set-up and breakdown periods must be completed within agreed timeframes.

    • All decorations, equipment, and personal belongings must be removed immediately after the event unless alternative arrangements have been agreed.

    Any property left behind may be disposed of after 14 days.

    Health & Safety

    All guests and suppliers must comply with:

    • Fire evacuation procedures

    • Health and safety regulations

    • Staff instructions

    • Licensing requirements

    Emergency exits must remain clear at all times.

    Behaviour & Conduct

    Spirit Bar & Terrace Bath maintains a zero-tolerance approach towards:

    • Violence or threatening behaviour

    • Harassment or discrimination

    • Illegal drug use

    • Criminal activity

    • Damage to property

    Management reserves the right to:

    • Refuse entry

    • Remove individuals

    • Terminate an event where necessary

    No refund will be issued in such circumstances.

    11. Damage & Liability

    Client Responsibility

    The booking organiser is responsible for the conduct of all guests and suppliers associated with the event.

    Damage

    Any loss, theft, excessive cleaning, or damage caused during the event may be charged to the booking organiser.

    The venue reserves the right to recover reasonable costs associated with repairs or replacement.

    12. Security

    For certain events, particularly:

    • Large private parties

    • Student events

    • High-capacity bookings

    • Late-night events

    The venue may require additional SIA-licensed security personnel at the organiser's expense.

    Terms of cancellation for private hire

    Cancellation of a private hire booking is to be made directly with the venue via phone or email contact. The cancellation becomes effective upon confirmation via email from the Bookings Coordinator.

    Refunds

    A refund of the hire fee and any additional pre payments are subject to the following terms. It is at the discretion of the venue to vary these terms - for example if the event can be rescheduled for an alternative date. 

    • cancellation more than 2 months in advance - 100% refund

    • cancellation more than 1 month in advance - 50% refund 

    • cancellation more than 2 weeks in advance - 25% refund 

    • cancellation less than 2 weeks in advance - no refund
